Exploring the Possibility: Call us, e-mail us, or fill in our inquiry form so that we can learn about your preferences. Of course, we want to know the basics - group size, dates, number of nights, etc. We would also like to know what you have done in the past, some information about the group's "personality", what types of activities you are interested in, how you plan on staffing the group, etc. If you are new to this, we would like to talk with you on the phone and tell you more about how our groups work and help you "try on" if a yachting program is the right fit for your group. We'll want to discuss destination, itinerary and fleet options with you as well.
Creating a Detailed Proposal: After our initial discussion, we will send you a very detailed proposal including program description, day-to-day itinerary, recommended group activities, guaranteed pricing, fleet descriptions and e-brochures. We know that sometimes you need the proposal yesterday so we can turn around a proposal very quickly.
Helping You to Sell the Concept: Whether you are an incentive company planner who has to sell the concept to a client, a corporate meeting planner who has to present the idea to corporate executives, or an executive assistant who has to collect information for our boss, we are here to partner with you however you need us to during that process. We will spend as much time as you need to educate you about our product and to help you understand how it works. We can send you a power point presentation, hard copies of yacht brochures, slide shows, etc. We are also willing to accompany you as your yachting expert at a sales presentation. Many of our clients have found that our presence helps clinch the sale.
Holding the Dates: Most companies are planning 12-24 months in advance, and it often takes them 30-90 days from proposal to contract. We can hold the dates for you as well as offer you guaranteed pricing during that period.
Contracting the Program: We require a 25% deposit to confirm the program if booked more than six months in advance with an additional 25% due six months prior. The final payment is due 60 days prior to the program. Payments can be made by wire transfer or corporate check.
Let the Planning Begin: We send you a “Get Ready to Cast Off” group planning package which includes a program planning time line, guest enrollment forms, and itemized checklists of everything that we need to plan together to make this your best program ever. We are then on standby to work with you whenever you need us. We take great pride in responding to your requests asap.
What does our price quote include? Our quote will be inclusive of all meals, snacks, an open bar, watersports, activities, some cocktail parties, taxes, and gratuities.
What other extra costs do we need to plan for? All you will need to add is airfare and airport departure fees. You may choose some program enhancements that will add to the cost such as a final night at a shoreside resort, an island tour, or musical entertainment.
Do we need a DMC (destination management company)? We handle all of your shoreside arrangements in many of our remote locations like the BVI. This includes meetings, shoreside parties, ground transfers, meet and greet, etc. In more developed ports like St. Thomas, we highly recommend local companies to handle these venues for you.
Do you have special accommodations for VIPs? We have yachts with VIP cabins as well as VIP yachts - just tell us what you need.
